Asset Management Overview Video
Our goal is to make it easy to manage the availability of your Assets (rooms, equipment, space for rent, etc.) seamlessly within your existing booking schedule.
What are Assets?
If you have anything that you want to allow your customers to reserve for a specific time, you can set it up as an Asset to make it available based on a set schedule – even without requiring a staff member to be assigned to the booked session.
The following items are examples of how we’ve seen Assets in use:
- Rooms (cold therapy room, sauna room, classroom, recovery room, cardio room)
- Specific equipment (squat rack, batting cage, compression boots, Pilates reformer, exercise bike, rowing machine, archery lanes, golf bays)
- Larger rental areas (turf field, basketball court, track)
What are Sub-Assets?
Sub-Assets make it easy for you to group multiple similar Assets together under a “Parent” Asset.
This way you can specify the availability for each Sub-Asset on its own and also support booking of all Sub-Assets at once.
From our example video, we set up our individual Workout Stations as Sub-Assets (Stations 1-5) under the Strength Workout Stations “Parent” Asset.
When you have multiple Sub-Assets linked under a “Parent” Asset, you can schedule individual sessions and still leave booking spots available for more clients to book.
If you have a large group that wants to book ALL the Strength Workout Stations, they can book your Service that uses all the Sub-Assets to make sure that there’s no double booking happening during that time frame.
How do I set up the Schedule without a Staff Member assigned?
In order to make your Assets available without having a Staff Member assigned to the session, you can now disable Staff Members when you go to create / edit Availability Schedules and Sessions:
How do I get started with Asset Management?
You can get started right away! Once you have a Location set up in the system, you’ll see the options to Manage Assets for that Location.
Please contact your CSM if you have any questions or issues getting started.
What happens to my existing sessions when I set up new Assets?
Existing sessions will not be affected when you add new Assets on your platform — even if you set up default Assets for a Service. Only NEW sessions will use Assets once you have them set up.
How do the options to allow additional bookings work?
When you’re adding Assets to your Service settings, you’ll be able to choose whether or not your Assets and Sub-Assets will be available for additional clients to book at the same time.
Each Session Uses 1 Sub-Asset
If you have a Staff Member running a session that only occupies one room or one piece of equipment, you can leave additional rooms or equipment spots open for additional bookings.
Each Attendee Uses 1 Sub-Asset
If you have group sessions you can set it up so each client that books into the group session will count as one sub-asset being “in use”.
Parent Asset is at Capacity for that Time Slot When 1 Session is Booked
Alternatively, if you want to mark an entire room or all equipment as “in use” for a certain session type, you can block anyone else from booking Parent Assets and Sub-Assets at that time.
